INFORMATION FOR TENANTS


If you’re looking to buy or rent a property through Home & Castle Estate & Letting Agents, please read through our information for tenants which includes our letting agent fees and landlord services.


ADMINISTRATION FEES

The asking rent does NOT include letting agent fees. A non-refundable £200 administration fee is due to H&C payable at the same time as the initial holding deposit to cover the applicant’s share of costs including preparation of the tenancy agreement and any legal notices, referencing and credit checks, and check-in/check-out if applicable. Fees are based on an individual applicant. A fee of £50 is payable per additional applicant or £75 for a guarantor. Pets disclaimer and deposit fees may apply if the landlord accepts pets – please ask for more details.


APPLICATION PROCESS

Having decided on a property, you will need to complete an application form. At this time any details or requirements can be provisionally agreed, such as occupancy date, duration of tenancy etc. On application, a reservation deposit will be required (50% of agreed month’s rent). Assuming the tenancy proceeds, this will be deducted from the fees due prior to occupation. If H&C or the Landlord withdraw from the process, it will be refunded. It will not be refunded if you decide not to proceed for any reason, or if the tenancy fails to proceed due to incomplete or inaccurate information provided in the tenancy application.


REFERENCES

We will obtain references on behalf of the Landlord. Normally these will include your employer, any former Landlord and a character reference. In addition, a credit check will be undertaken. Where a Applicant is unable to meet the required income or credit checks, the Applicant may have a Guarantor agree to underwrite any tenancy liabilities.


RENT

Rents are normally quoted and payable on a calendar month basis. In addition, the Tenant is usually responsible for council tax, water rates, gas, electricity and telephone costs. Rents are payable by standing order (unless alternative arrangements are agreed in advance) to our company bank account monthly in advance, with the first month’s rent due before taking occupation of the property.


DEPOSIT

A deposit is required prior to occupation. This is normally equal to one month’s rent, but may be more. From 6th April 2007, all tenancy deposits taken by Landlords (or agents on behalf of Landlords) in connection with an Assured Shorthold Tenancy (AST) must be protected by law under one of the statutory Tenancy Deposit Schemes. We are members of the Deposit Protection Scheme. For more information, please contact our office. The deposit is held to cover any breakages, damage or other applicant liabilities.

Where we are managing the rental, at the end of the tenancy we will check the property in the presence of the Applicant and assess any damages and deductions due. Please note that the deposit cannot be used by the applicant to cover rent.


INSURANCES

As an applicant, you are not required to have buildings insurance as this will be taken care of by the Landlord. However, this will not insure your personal belongings. We would strongly advise that you seek separate insurance to cover this. We would be happy to obtain a quote for you from an insurance company that specialises in Applicant and Landlord insurances.


INVENTORY PREPARATION

For the protection of your security deposit and to avoid disputes at the end of your tenancy, we can arrange a detailed inventory prior to you moving in to your new home.


OMBUDSMEN / REDRESS SCHEME

H&C is a member of The Property Ombudsman (TPO). Member agents follow TPO Codes of Practice. The Ombudsman is able to consider complaints against any of the following applicable to a Member agent's business: Residential Sales, Residential Lettings.

LANDLORD SERVICES


We are conscious of the fact that not all landlords are the same, so we have developed different levels of service that cater for every need.


TENANT FIND SERVICE

This service is designed for landlords who are familiar with lettings and are able to administrate and keep up to date with the ever-changing tenancy laws. As such, you do not require comprehensive assistance on a regular basis. Under this scheme H&C will market your property, conduct viewings and carry out applicant referencing to ensure the prospective occupants are suitable.


APPLICANT FIND

  • Marketing your property until a suitable applicant is found
  • Property photography
  • Arrange and conduct accompanied viewings
  • Carry out applicant referencing to determine the suitability of the prospective tenant(s)
  • Prepare the tenancy agreement collecting the deposit and one month’s rent in advance
  • Holding the applicant’s deposit in accordance with the Tenancy Deposit Protection Scheme
  • Arranging the return of the security deposit at the end of the tenancy if not disputed

FULLY MANAGED PROPERTY SERVICE

A Fully Managed Service offers many additional features that ensure you do not have to tackle any of the tasks associated with letting or managing your property. We will oversee the rental every step of the way.

For complete peace of mind we can also offer Rent Protection for those landlords who take our fully managed service. This service includes cover for rental income arrears and up to £10,000 of legal expenses relating to obtaining possession of your property.
